Categorize your files into collections for easier filtering from listing screens.

Filtering files by collections

After adding collections to Live Editor and categorizing files under them, you can filter files on any listing screen by one or many collections:

Just check or uncheck collections to narrow the list and click the Update Filters button below:

Creating a new collection

There is a whole section in Live Editor for managing collections. Just click the Collections link in the global navigation:

On the Collections screen is a button to create a New Collection:

The New Collection form prompts you for a title and an optional Parent Collection. You can organize collections underneath others as subcollections.

Your new collection will be created after you click the Create Collection button.

Managing existing collections

To edit, delete, or change the sort order of your existing collections, click the Collections link in the global navigation:

From the Collections screen, you can edit or delete existing collections by hovering over a collection and clicking the Edit or Delete icons:

To reorder your collections, you can either edit the collection and choose a new Parent Collection, or you can click and drag any collection (or set of collections) to reorder.

You can drag a collection and its set of children to a new reordering, and if you drag it to the right, you can drag it underneath another collection at any point in the hierarchy.

Assigning files to collections

There are 2 ways of assigning your existing files to collections:

  1. From a file's edit screen
  2. In batches on the main Files screen

1. From a file's edit screen

While editing a file, you can assign it to one or many collections under the Organize tab:

Check the collections that you would like to assign and click the Save Changes button.

If you need to add a new collection and associate it with the file, you can click the New Collection link at the list of chooseable collections:

When you save the new collection, you will arrive back at the file's edit screen, and the new collection will be automatically associated with the file.

2. In batches on the main Files screen

Click Files in the main navigation to go to the main listing of files in Live Editor. You can then use the filters on the right to narrow the list of files by file type and collection if needed.

Next, check the checkbox next to one or more of the files that you would like to add to a collection. When you check at least one file, a group of batch actions will appear at the top of the screen::

Next, choose a collection in the Add to Collection dropdown at the top of the screen and click the Add button.

Removing files from collections

You have three ways of removing files from collections:

  1. From a file's edit screen
  2. In batches on the main Files screen
  3. Delete the collection

1. From a file's edit screen

While editing a file, you can remove it from one or many collections under the Organize tab:

Uncheck the checkbox next to each collection that you'd like to remove the file from and click the Save Changes button.

2. In batches on the main Files screen

Click Files in the main navigation to go to the main listing of files in Live Editor. You can then use the filters on the right to narrow the list of files by file type and collection if needed.

Next, check the checkbox next to one or more of the files that you would like to remove from a collection. When you check at least one file, a group of batch actions will appear at the top of the screen:

Next, choose a collection in the Remove from Collection dropdown at the top of the screen and click the Remove button.

Note: Live Editor will remove the files that you selected from the collection, but it will not delete the files themselves.

3. Delete the collection

If you don't need a collection anymore, simply delete the collection. Your files will not be deleted, but the collection will be.
